Use of Lancaster and Rotunda First Floor Public Space 4004

I. PURPOSE

The purpose of this policy is to establish policies which govern the use of the Lancaster Building and the Rotunda building first floor public spaces to ensure they are used in a manner consistent with the mission of the institution and requirements of the Commonwealth of Virginia.

II. POLICY

  1. It is the policy of Longwood University that the Lancaster Building first floor public spaces are to be used for the following  specified purposes only:
    1. Stallard Board Room: This can only be used for the following purposes:
      1. Board of Visitors sponsored events;
      2. Special events as designated by the President;
      3. Special academic ceremonies such as those sponsored by Honor Societies when reserved by an academic department via the Office of University Events and Ceremonies; and
      4. Meetings of Longwood committees, but only during normal business hours when reserved via the Office of University Events and Ceremonies;
      5. Admissions Department Open Houses when reserved by the Office of University Events and Ceremonies and;
      6. Other events with the approval of the Office of University Events and Ceremonies.
    2. Rowe Gallery Space: Use of the Rowe Gallery Space shall only be permitted to support an event initiated from the Office of the President.  Any other requests for this space must be approved by the Office of University Events and Ceremonies.
    3. President's Conference Room 101I: This space can only be used by the Office of the President.
  2. It is the policy of Longwood University that the Rotunda Building first floor public spaces are to be used for the following specified purposes only:
    1. Rotunda: Use of this space shall be permitted after 4:00 P.M. weekdays and as scheduled by the Office of University Events and Ceremonies on the weekends.
    2. Rotunda 148: All events scheduled in this space must be approved by the Office of University Events and Ceremonies. When spaces designated in this policy are in use an individual from the approved department must be designated as the responsible person and must be present during the scheduled event.
