To Access Cardinal

Never Registered for Cardinal Self-Service? Please find steps below.

  • Access Cardinal HCM by navigating to https://my.cardinal.virginia.gov/
    • Registration is required for all users. Once on the Cardinal site click User Registration. See the Cardinal System Access Guide (page 13) for detailed step-by-step instructions and important information to register, activate, authenticate, and log in to Cardinal. The registration process will ask for your 11 digit Cardinal Employee ID. This is your 9 digit state employee ID with two zeros (00) added to the end. Please be sure to use your state employee ID (not your L number). This number can be found on your health insurance card less any letters plus adding two zeros at the beginning and two zeros at the end. Also, feel free to call HR at 434-395-2074.
    • Longwood is a non-COV agency (not on the VITA managed Active Directory domain) and you will need to register in VITA's Okta tool prior to being given access to log in to Cardinal.
  • Log in to Cardinal HCM by entering your credentials. If you are having trouble logging in, please reference the Cardinal System Access Guide for troubleshooting tips.
  • Once logged in, select the "Human Capital Management" link from the menu and begin to explore the application. Paystubs and W-2's are located on the Payroll Tile.

Time Reporting for Holidays, Recognition Days and Office Closings:

For Classified Exempt and Non-Exempt Employees please follow the information below in recording Holidays, Recognition Days and Office Closings. Please refer to the 2022 Longwood Holiday and Recognition Day Calendar found on the following link  to see which days are Holidays and Recognition Days: 

Payroll

Classified Non-Exempt (Positive Time Reporters)

Holiday: Holidays will not show on your timesheet so you will need to enter those hours in your timesheet.  Please use the “Holiday” (HOLM) Time Reporting Code (TRC).

Recognition Leave: To record Recognition Leave, please go to Absence; create an absence event, select Organization Recognition Leave and record 8 hours for the Recognition day. You will need to forecast the absence and submit.  You will not see the Recognition Balance in your Absence Balance but it is in the background and it will allow you to forecast and submit the absence. 

Office Closing: When Longwood announces a delayed opening or closing, please record Office Closing using the CLO Time Reporting Code (TRC) on your time sheet. 

Classified Exempt Employees (Exception Time Reporters)

Holiday: Holidays will be loaded automatically, you will see Holiday hours for each day under Payable Time.

Recognition Leave: To record Recognition Leave, please go to Absence; create an absence event, select Organization Recognition Leave and record 8 hours for the Recognition day. You will need to forecast the absence and submit.  You will not see the Recognition Balance in your Absence Balance but it is in the background and it will allow you to forecast and submit the absence. 

Office Closing: When Longwood announces a delayed opening or closing, please record Office Closing using the CLO Time Reporting Code (TRC) on your time sheet. If the closing is less than your normal workday, please record the hours worked on your timesheet for that day.
